MAJOR FUNCTION:

Manages and monitors day-to-day Business Office Operations. Provide oversight and direction to the employees in the operating unit in accordance with the organization's policies and procedures. Responsible for setting goals that align with organizational objectives. Lead employees to meet the organization's expectations for productivity, quality, continuous improvement, and goal accomplishment. Responsible for the data management and analysis of all surgical materials, implants and procedures performed and ensuring accurate billing. Responsible for overall data management including downloading, merging and generation of reports. Attention to detail and critical thinking abilities required. Excellent math skills also required. Ability to troubleshoot problems with all software and surgical services hardware required.

QUALIFICATIONS:

Education & Experience:

Baccalaureate Degree or actively pursuing one.

Experience in Clinical health care environment or related work experience required.

Preferred:

Bachelor's degree in finance, Information Systems or Business Administration preferred.

At least 2 years' experience in Surgical Services/ Surgical Business Office.

Minimum of 4/5 years' experience in analyzing data and producing reports in a health care environment.

Excellent analytical, oral and written communication required.

Minimum of relevant 2 years' experience in departmental operations desired.

Minimum relevant 2 years' experience in Information Technology and one (1) year surgical service experience desired

Knowledge & Skills:

Strong knowledge of clinical / medical practice operations, procedures, medical/ surgical terminology, anatomy, and administrative procedures required.

Demonstrating a proficiency of Microsoft computer applications with a minimum score of 80%.

Strong organizational and analytical skills; innovative with ability to identify and solve problems required.

Able to adapt, prioritize and meet deadlines required.

Maintains high level of knowledge and skill in the use of appropriate electronic systems/ Cerner software to obtain and provide information.

Always courteous and maintains a pleasant, professional voice during phone communications and co-workers.

Ability to use multi-line telephone system.

Must be proactive, self-motivated, able to multitask and organize work independently.

Willing to extend a helping hand in any person in need of our services.

Understanding of DRG's, Surgical/ Medical ICD-10 codes and CPT/HCPC Codes and Modifiers.

Must be able to communicate effectively with physicians, patients, and the community.

Demonstrated ability to work independently or collaboratively as part of a team with both deadline constraints and multiple priorities or projects.

Position Responsibilities

Responsible for daily supervision and coordination of assigned offices within the Surgical Business Office. Works closely with practice administration, section leads, clinic personnel and physicians to ensure effective and efficient operations. Specifically, the Manager is dedicated to improving patient experience, maximizing operational efficiencies, and improving financial results through partnership with physicians, administration, and nursing. The Manager develops and implements process improvement plans, coordinates, and manages key initiatives within the service line and monitors and drives key performance indicators.

Assists with business plan development, financial management, and successful implementation of strategic initiatives, which involve utilization of resources, and productivity, and market. Creates, analyzes, and presents data and reports as relevant to Surgical Services operations. Supports leadership and ensures that departmental activities and initiatives are aligned with departmental goals, mission, vision, values, and core strategies.

Accomplishes department objectives by managing staff; planning and evaluating department activities.

Maintains staff by recruiting, selecting, orienting, and training employees.

Ensures a safe, secure, work environment.

Defines objectives, identifies and evaluates trends and options, chooses a course of action, and evaluates outcomes.

Assist with new employee onboarding and training program

Maintain employee work schedules including assignments, job rotation, training, vacations, and paid time off, telecommuting, cover for absenteeism, and overtime scheduling.

Handling interpersonal conflicts as they arise and ensuring employees are motivated to move forward once a resolution is found.

Foster a spirit of teamwork and unity among department members that allows for disagreement over ideas, conflict and expeditious conflict resolution, and the appreciation of diversity as well as cohesiveness, support, and working effectively together to enable each employee and the department to succeed.

Administration of Operating Room Information System

Management and Accountability for the OR Post Case Data Entry and Charge Process

Manages and Directs the work effort of assigned staff

Provides ad hoc analytical support to Surgical Services Management Team

Evaluates and monitors financial procedures, techniques and protocols

Maintains Industry knowledge on quality and performance excellence and innovation

Understanding of Healthcare industry and hospital operations

Controls expenses to maximize cost effectiveness

Modifies budget as needed in response to organizational /department changes

Ensures sufficient resources to support department activities

Coordinates departmental purchasing within budget limits

Evaluates reviews and recommends modification of existing department equipment and purchases of new equipment

Controls utilization of department resources to achieve efficiency while improving quality.

Works in collaboration with other Surgical Services leaders to develop, review, update processes, policies, procedures, training and evaluation metrics that help support efficient clinic workflows, to optimize revenue.

Provides guidance in resolving operational issues that impact financial performance.

Ensures communication of goals, objectives, policies and procedures through meetings, huddles and other forms of communication.

Performs general and support activities and carries out special projects, and other assignments as required
